Information for patients whose practice uses Microdoc.

Each practice and clinician chooses which Microdoc features to use. This can differ between patients and appointments. Your practice using Microdoc does not mean every feature is used in your care. Ask your clinician which features apply to you.

What can Microdoc help with?

Microdoc can help practices manage appointments and clinical documentation. Its artificial intelligence (AI) features can help your clinician review information in your medical record and prepare draft notes, letters, forms and follow-up work. These are examples of available features, rather than a description of what happens at every appointment.

Will my consultation be recorded?

Using Microdoc does not mean your consultation is being recorded. If your clinician proposes recording to help prepare draft documentation, they should explain this and ask your permission before recording starts. You can decline or ask for recording to stop; your consultation can continue without recording.

If your clinician uses features that review existing medical records, these can work without recording a conversation and may be used before an appointment. Ask whether these features are used in your care and discuss any concerns with your clinician.

Who checks the AI’s work?

AI can make mistakes. When AI prepares draft documentation, your clinician is responsible for checking and correcting it. Your clinician remains responsible for decisions about your care. If something in your record seems wrong, tell your practice.

How is my information handled?

Your practice is responsible for explaining how it uses your information. Microdoc processes clinic and patient information on the practice’s behalf, with service providers that support the platform. The information processed depends on the features used in your care. For example, recording involves audio and transcripts; reviewing existing records involves information from those records. Not every patient’s information is used in all these ways.

Read the Microdoc privacy policy and ask your practice for its own privacy notice, including its legal bases, recipients, international transfers and retention periods.

What am I acknowledging in a confirmation text?

Your appointment-confirmation link may include a privacy notice. Acknowledging it records that you have read that version of the notice. It may include information relating to the use of AI in the optional privacy policy.

Who can I contact?

Contact your practice to ask about AI use, request access to your information, correct inaccuracies or discuss other data protection rights. Rights depend on the circumstances; stopping recording does not automatically delete information already held in your medical record.
